What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact Forms & Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Who we share your data with & How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Our security practices are continually evolving to ensure that the integrity and confidentiality of information and systems are maintained. Nicholson Sheffield Architects Inc. uses up-to-date security safeguards to protect its networks and websites from misuse, alteration, copying, disclosure, destruction, monitoring or unauthorized sharing of information and damage. These safeguards include the use of security software and encryption protocols to protect information behind the wesbite’s firewall.

In the unlikely occurrence of a data breach, Nicholson Sheffield will contact and inform every person whose contact information we possess, whether that person has had their data taken or not, and keep you up-to-date on 

What third parties we receive data from

We receive third party data from Google Analytics, Webtrends, and Mandrill. 

If you would like to avoid being tracked by some third parties, Google currently offers a free Google Analytics opt-out tool for Internet Explorer (versions 7 and 8), Google Chrome (4.x and higher), and Mozilla Firefox (3.5 and higher).

What automated decision making and/or profiling we do with user data:

Standard practice for automated collection applies to NicholsonSheffield.ca. This site may collect:

  • Internet Protocol (IP) addresses of the computers being used to access our sites
  • Operating systems and the types and versions of browsers used to access our sites
  • Internet Service Providers used by visitors to our sites
  • Dates and times users access our sites
  • Pages visited
  • Keywords users enter into our search engine
  • Names and sizes of files requested

Industry regulatory disclosure requirements

We Follow OAA Policies for Industry Regulatory Disclosure, which the OAA website lists as:

Policy: Personal information collected, used or disclosed by the OAA in the course of its commercial activities shall not be used or disclosed for purposes other than those for which it was collected except with the consent of the individual or as required by law. Personal information shall be retained only as long as necessary for the fulfilment of those purposes. 

The OAA may disclose personal information collected in the course of its commercial activities without the knowledge or consent of the individual if the disclosure is to a lawyer who represents the OAA or for the purposes of collecting a debt owed by the individual to the OAA or where such is required to comply with a subpoena or an Order of the Court or a person or body with jurisdiction to compel the production of information or where a request has been made by an investigative body and the disclosure is reasonable for purposes related to investigating a breach of an agreement or contravention of the Laws of Canada or a Province or are required by law.

Procedure: Only personal information collected from the Consent Form may be provided to those organizations identified on the Consent Form.
